Valley Balloon Co. Policies & Rental Agreement

Thank you for choosing Valley Balloon Co. We are honored to be part of your celebration and are committed to delivering beautiful, high-quality balloon décor. The following policies ensure a smooth experience for both our clients and our team.

By booking with Valley Balloon Co., you agree to the terms below.

Booking & Payment

A 50% non-refundable retainer is required to secure your event date. Your date is not reserved until the retainer has been received.

The remaining balance is due 7 days prior to the event date.

Events booked within 7 days of the event require full payment at the time of booking.

If the remaining balance is not paid by the due date, Valley Balloon Co. reserves the right to cancel services and retain the non-refundable retainer.

Cancellations & Rescheduling

All retainers are non-refundable, as materials are ordered and your date is reserved exclusively for you.

  • Cancellations made 7 or more days before the event may apply payments (excluding the retainer) toward a future event within 6 months, subject to availability.

  • Cancellations made within 7 days of the event are non-refundable.

One complimentary reschedule may be permitted if requested at least 14 days prior to the event date and is subject to availability. Additional reschedules may require a new retainer.

Design Changes

Minor adjustments may be made up to 7 days prior to the event.

Significant changes to color palettes, installation size, or design structure may result in additional fees.

Changes requested within 7 days of the event are not guaranteed and may not be accommodated.

While we strive to match inspiration photos, exact color matches cannot be guaranteed due to lighting conditions, balloon brand availability, seasonal inventory, and screen variations. Substitutions of similar tones may be made when necessary.

Setup & Venue Requirements

Setup times will be coordinated in advance.

The client is responsible for ensuring:

  • Clear and safe access to the installation area

  • Adequate space for the agreed design

  • Venue permission for décor installations

  • Nearby parking/loading access

Large installations may require 1–2 hours for setup.

If access to the venue is delayed or denied at the scheduled setup or pickup time, additional fees may apply.

Access to electrical outlets may be required for certain designs.

Rental Agreement

Certain items provided by Valley Balloon Co. are rented and remain our property. This may include:

  • Backdrops

  • Balloon frames and arches

  • Stands and support structures

  • Easels

  • Marquee letters or numbers

  • Props and specialty décor pieces

Rental Period

Rental items are provided for the duration of the agreed event time unless otherwise specified. Teardown or pickup times will be scheduled in advance.

Care & Responsibility

Once installation is complete, responsibility for rental items transfers to the client.

The client agrees to:

  • Keep rental items in a secure and safe location

  • Prevent guests from climbing, leaning, or pulling on structures

  • Protect items from weather if outdoors

  • Supervise children around rental pieces

Damage, Loss, or Non-Return

The client is responsible for any damage, staining, breakage, weather exposure, loss, or failure to return rental items.

Repair or replacement fees will be charged as needed. Irreparable damage may result in full replacement cost being charged.

Rental items may not be moved, altered, or transferred without written permission.

Balloon Responsibility & Longevity

Once installation is complete, responsibility for balloon décor transfers to the client.

We are not responsible for damage caused by:

  • Heat or direct sunlight

  • Wind

  • Rain or moisture

  • Sharp objects

  • Pets or guests

Indoor balloon installations typically last 24–72 hours, depending on environmental conditions.

Outdoor installations may have a significantly shorter lifespan due to weather factors.

No guarantees are made regarding balloon longevity after setup.

Weather & Outdoor Installations

Outdoor balloon décor is highly sensitive to environmental conditions.

Client acknowledges that balloons may pop, deflate, oxidize, or shift due to:

  • High temperatures

  • Direct sunlight

  • Wind

  • Rain or humidity

Valley Balloon Co. is not responsible for weather-related damage once installation is complete. Refunds will not be issued due to weather conditions beyond our control.

Whenever possible, shaded or indoor placement is recommended.

Photo Release

Valley Balloon Co. reserves the right to photograph completed installations and use images for marketing, website, and social media purposes unless the client provides written notice prior to the event requesting otherwise.

Limitation of Liability

Valley Balloon Co.’s liability shall not exceed the total amount paid for services rendered.

We are not responsible for indirect, incidental, or consequential damages arising from the use or display of balloon décor or rental items.

Safety Notice

Balloons may present a choking hazard.

Children should be supervised around balloon décor and rental structures at all times. Any popped balloon pieces should be disposed of immediately.
